These Terms & Conditions govern participation in our holiday camps and community events. By registering or attending, participants and guardians agree to follow event rules and staff instructions, accept any risks associated with participation, and consent to the collection and use of personal data for event administration. Fees, cancellations, and refund policies are set by the event organiser and are subject to change; any changes will be communicated in advance. The organiser is not liable for loss or damage to personal property. Participants must disclose health or accessibility needs in advance. Emergency medical treatment may be sought if required; attendees are responsible for associated costs. All participants must behave respectfully; the organiser reserves the right to refuse entry or remove anyone for safety or conduct concerns.

Code of Conduct

We expect all participants, staff, volunteers, and guardians to treat each other with respect and consideration. Harassment, discrimination, bullying, violence, or abusive language will not be tolerated. Participants should follow instructions from staff and supervisors at all times and use equipment and facilities safely. Personal belongings should be secured; the organiser is not responsible for lost or damaged items. Any concerns about behaviour or safety should be reported immediately to event staff. Repeated or serious breaches of this code may result in removal from the event without refund.

Photography & Videography Policy

Events may be photographed or recorded for promotional, training, or safeguarding purposes. By attending, participants and guardians consent to being photographed or filmed unless prior written notice is given to organisers requesting otherwise. Images and recordings may be used across print and digital channels including social media and the organiser’s website. Where relevant, images of minors will be used in accordance with parental permissions. If you have concerns about being recorded or about specific images, contact event staff to discuss restrictions or requests for removal.

Social Media Policy

The organiser may maintain social media accounts to share news and highlights from holiday camps and community events. Participants and guardians are encouraged to engage positively online. Please respect privacy and do not share sensitive personal information about others. When commenting on official channels, avoid abusive language, spam, or content that could harm the reputation of participants or the organiser. The organiser reserves the right to moderate or remove comments that violate these guidelines.

Complaints Procedure

We take complaints seriously and aim to resolve concerns promptly. If you have a complaint, raise it first with event staff on the day so we can attempt an immediate resolution. If unresolved, submit a written complaint to the organiser within 14 days including full details and contact information. Complaints will be acknowledged within 5 working days and investigated fairly. We will communicate the outcome and any remedial actions. If you remain dissatisfied, details of any independent or escalation routes will be provided where applicable.

Health & Safety Statement

The organiser is committed to providing a safe environment for participants and staff. Reasonable steps are taken to identify and manage risks, provide first aid, and ensure staff are trained in safeguarding and emergency procedures. Participants must follow safety instructions, report hazards or incidents immediately, and disclose any relevant medical conditions or allergies prior to activities. In the event of an accident, appropriate emergency procedures will be followed and incidents recorded. The organiser conducts regular risk assessments and maintains necessary insurance.
